A Secretary - Property Operations is responsible for performingadministrative duties, including receptionist activities, answering telephones and typing. Composes correspondence, purchase requisitions and reports. Records purchase orders, matching and verifying purchase orders with other requisitions. Distributes mail, photo copies, faxes documents and maintains files.

What will I be doing?



A Secretary - Property Operations is responsible for performingadministrative duties, including receptionist activities, answering telephones and typing. Composes correspondence, purchase requisitions and reports. Records purchase orders, matching and verifying purchase orders with other requisitions. Distributes mail, photo copies, faxes documents and maintains files. Specifically, you would be responsible for the following:
  • Responds to telephone and in-person inquiries using positive and clear English communication. Directs and coordinates requests and follows through to the proper personnel. Ability to communicate clearly while using the telephone.
  • Types and composes correspondence and reports as directed, using proper grammar, punctuation and vocabulary.
  • Processes and prepares purchase requisitions and invoices to ensure the accurate, timely receipt of materials. Processes payroll charge-backs for hotel events. Distributes and routes copies of requisitions/invoices to appropriate personnel. Records purchase orders, matching and verifying purchase orders with other requisitions.
  • Maintains, retrieves and stores departmental records and files weighing up to 50 lbs. at levels up to 6 feet high.
  • Coordinates meetings with Contractors and appropriate hotel personnel. Arranges and confirms meeting dates, distributing appropriate information and schedules to all parties.
  • Distributes the mail to proper personnel in an organized and timely manner.
  • Performs other administrative duties, including, but not limited to, photo copying and faxing various documents.


Job Requirements

What are we looking for?

EDUCATION
  • Any combination of education, training or experience that provides the required knowledge, skills and abilities. High school diploma required. Business college training preferred.
  • Ability to be evaluated at a 10th grade comprehension level through testing issued by a Hilton approved agency.

EXPERIENCE

One year secretarial experience required. Computer experience required. Property operations/maintenance experience preferred. Property operations, maintenance or related field experience is preferred.

LICENSES OR CERTIFICATES

CPR Certification and First Aid training preferred.

GROOMING

All team members must maintain a neat, clean and well-groomed appearance (specific standards available).

OTHER

Ability to speak another language in addition to English is preferred, with Japanese being the most desirable.

SPECIFIC JOB KNOWLEDGE, SKILL AND ABILITY

The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation.
  • Knowledge of basic office procedures.
  • Basic mathematical and calculator skills necessary to prepare mathematical calculations without error.
  • Ability to communicate effectively in English with employees and customers, understand reports and related correspondence and accurately perform all essential job functions.
  • Ability to effectively deal with external customers and employees,(some of whom will require high levels of patience, tact and diplomacy to defuse anger), in a friendly and positive manner. This involves listening to the nature of the concern, demonstrating empathy with the customer and/or employee, providing positive and proactive solutions, deciding the appropriate action to be taken and following through accordingly.
  • Ability to access and accurately input information into a computer system, using word processing (MS Word) and spreadsheet (Excel) software, and ability to operate a typewriter.
  • Ability to lift, bend, stoop, walk, push/pull to retrieve and re-file various binders and files, weighing up to 30 lbs., at levels up to 6 feet high.
  • Must be detail oriented and have the ability to organize, prioritize work, and meet deadlines.
  • Ability to accurately input/type 50 words per minute.
  • Must have excellent telephone etiquette skills.
  • Ability to use various office equipment, including, but not limited to, typewriters, calculators, photocopiers and facsimile machines.
